Does Microsoft back up Microsoft 365 data? Retention vs backup
Checked October 27, 2026 by Accred Consulting
Microsoft keeps Microsoft 365 running and replicates your data, but recovering from deletion or bad changes is limited to fixed windows: 14 days by default for Exchange deleted items (up to 30), and 93 days for SharePoint and OneDrive recycle bins. Retention policies and legal holds keep data for compliance, not for fast restore. Microsoft says protecting your data is still a shared responsibility and sells Microsoft 365 Backup as a separate product.
How long Microsoft 365 keeps deleted data
| What was deleted | Recovery window | Notes |
|---|---|---|
| Exchange Online mail (Recoverable Items) | 14 days by default, up to 30 | Calendar items under single item recovery: 120 days |
| SharePoint files and sites | 93 days | Across the first- and second-stage recycle bins |
| OneDrive files (work or school) | 93 days | An admin can change it |
| SharePoint and OneDrive libraries (Files Restore) | 30 days | Rolls a whole library back to a point in time |
| Exchange Online lagged database copy | 7 days | For service-wide corruption, not for individual mailbox recovery |
Why retention is not the same as backup
- Retention policies and holds decide what is kept and for how long, so content can be searched and exported for compliance. Microsoft’s Backup FAQ says legal holds are optimized for export, not mass restore.
- Microsoft’s disaster-recovery copies hold the current state of your content, not earlier versions, so they do not undo a bad change or a deletion you only notice later.
- File version history helps, but versions can run out depending on the version limit an admin sets.
- Microsoft’s Exchange documentation says Exchange Online does not provide a traditional mailbox backup.
Your options
- Use the built-in windows above if every loss you care about will be noticed and fixed within 14 to 93 days.
- Add Microsoft 365 Backup for frequent recovery points on Exchange, OneDrive, and SharePoint, at $0.15 per GB per month.
- Use a third-party backup if you want a copy outside Microsoft 365, longer retention, or workloads such as Teams chat.

Questions
How long does Microsoft keep deleted emails?
Exchange Online keeps deleted items in Recoverable Items for 14 days by default, and an administrator can raise it to 30 days. Calendar items under single item recovery are kept for 120 days.
Can I recover OneDrive files deleted more than 93 days ago?
Not from the recycle bin. Work or school OneDrive recycle bins keep deleted files for 93 days, and Files Restore goes back 30 days. Older content needs a retention policy, a hold, or a backup taken before the deletion.
Is the Microsoft 365 recycle bin a backup?
No. It is a short recovery window for deleted items. It does not keep earlier versions after the window ends and does not protect against changes you notice late.
What is Microsoft 365 Backup?
A paid Microsoft product that backs up Exchange mailboxes, OneDrive accounts, and SharePoint sites, with recovery points as often as every 10 minutes and retention of up to 2 years, billed at $0.15 per GB per month through Azure.
